Question/Info
How do I perform the PO release and print processes using the PO Mass Release functions?
This custom functionality was setup to reduce the number of steps a buyer must take to release a requisition into a PO, print it, rename the pdf, and update the status to 400 or 480 for receipt or payment.
Environment
- Westmoreland Mining LLC
- JDE
- Work with Order Release - P43060 (Version WCC0001-0005)
Requirements
Users require the following to be configured to effectively use the application improvements:
- Release screen applications configured to use the OrderRelease-AJAM layout.
- If this has been configured you will see OrderRelease-AJAM in the upper right:

- Addition of the Buyer Number column in the release screen grids.
- This is so that missing or incorrect information is more easily caught as this drives the email output of printed POs.

- Quick-instructions if you do not have a Buyer Number column in the PO applications:

Answer
In order to use the PO Mass Release function in JDE:
- Access the Release Requisition application based on the type of resulting PO to be created. (OI, OP, OS, OX, or OZ)

- Search for orders

- You may add line level attachments here if needed. (Attachment text will appear in the detail section of printed POs and will also be attached to the requisition.)
- If any perform line specific changes are required (updating pricing, qty, etc):
- Select the record to be updated
- Click the green checkmark
- Perform updates as needed
- Click save to return to the Work with Order Release Screen. Note: This will remove the line from the remaining list of lines to release.
Do not select multiple lines to update via the green checkmark unless updates are actually required. Selecting multiple will lock you into the regular review process and you will need to ok each line individually.
- Header specific changes can also be made here (supplier, buyer, etc).
- Updating the header on any line while using the green checkmark will update for all lines on the order.
- If header update is missed, there is still another opportunity to update header information prior to printing the final PO. Instructions are further along in this document.
- Once all single line adjustments have been made, select the remaining lines to release.
- The lines can belong to any company and any OR/OI. User can elect to select all lines for a requisition or omit any not yet ready to be released.

- Click FORM and then click Mass Release
- Regular errors (ie: item obsolete, invalid supplier) will be generated and those lines will not be processed.

The buyer will be taken to a screen with a list of Purchase Orders generated by supplier. These can be updated before printing, or printed immediately and updated to a status of 400.
PLEASE PERFORM ANY UPDATES TO THE ORDER BEFORE CONTINUING!
Any updates after printing require the order to be re-printed to include any updates
DO NOT PRINT FINNING ORDERS FROM THIS SCREEN – they will update to the wrong status.
For Finning orders that are ready for P&A, proceed to step 8 to update orders prior to printing
- Select the order to be updated
- Click on Row and then Open Order Inquiry

- Select the line to update
- Click on ROW exit then Header Revision (Updating buyer, delivery instructions, etc)

- Update order header information as needed
- Click save

- Add any line level or order level text attachments that need to print on the PO
- FINNING ORDERS can be submitted for P&A if ready to do so
- Click on Close in the upper left to return to the Generated orders screen
- Repeat as necessary
- Select the PO’s to print – DO NOT PRINT FINNING PO’S FROM THIS SCREEN!
- This process updates the PO to next status (400) and creates the Supplier facing PO
- Note: changes made using open order inquiry cannot be seen in the Generated Purchase Orders screen but are in effect

- Click Print Selected to print and return to the Work with Work Order Release screen.

- The PO will be available in the Recent Reports Job Queue

- A copy of the PO will automatically be emailed to the Buyer in the order header
- The pdf file name will be Supplier PO Number PO Type (IE: CANADA BLOWER CO 1113766 OP)
- The email may take a few moments to arrive—please be patient
